Who we are

SOS Children's Villages Jordan is a national non-profit organization established in 1983 to provide alternative care for children and youth who lack parental care or are at risk of losing it. What distinguishes our care model is providing integrated care for children and youth, by covering all their needs including care, accommodation, education and skills, protection and social inclusion, food security, physical health, livelihood, and social and emotional wellbeing. The Association is guided by the UN Guidelines for the Alternative Care for Children and the Convention on the Rights of the Child issued by the United Nations. The Association also aligns its efforts with the principles of the 2030 Agenda for Sustainable Development, where the goals of the United Nations for sustainable development come within the focus of the Association's work and strategy.

 

Position title Project Coordinator

Working Location: Amman, with travel as required

Direct supervisor : Project Manager

Contract duration Seven months, commencing from the project start date, with the possibility of extension subject to project needs, satisfactory performance, and availability of funding.

 

Project Background

SOS Children’s Villages Jordan is establishing the Non-Profit and Leadership Academy as a Jordan-based, regionally focused institution that will strengthen the social service workforce protecting children and families across Jordan and the wider Arab region. The seven-month Preparation Phase will establish the legal entity, evidence base, governance arrangements, curriculum and accreditation framework, institutional partnerships, and launch-year funding pipeline. It will also produce the Academy’s first professional training package on positive parenting in practice and conclude with a public launch activity in Amman.

Mission of the Position

The Project Coordinator is responsible for the day-to-day coordination, operational follow-up, administration, documentation, and stakeholder communication required to deliver the Academy’s seven-month Preparation Phase. Working from the first day of the project, the position supports continuity across both implementation phases, coordinates consultants and partners, follows up procurement and logistics, tracks milestones and documentation, and provides structured support to the Project Manager once appointed in month four.

Key Performance Areas and Responsibilities

Project Coordination and Operational Support

· Coordinate day-to-day implementation of the Academy’s Preparation Phase from the project start date and maintain an up-to-date activity schedule, action tracker, and project calendar.

· Support the timely implementation of the startup and build-phase milestones, including legal registration, feasibility work, governance arrangements, curriculum development, partnership engagement, and launch preparations.

· Coordinate administrative and logistical arrangements for meetings, workshops, consultations, partner engagements, and the public launch activity.

· Support procurement processes, consultant contracting, purchase requests, payment documentation, and follow-up with internal support functions in line with approved procedures.

· Ensure continuity and an organized handover when the Project Manager joins in month four, and continue providing operational support through project completion.

Stakeholder and Partner Coordination

· Serve as the day-to-day contact point for consultants, academic institutions, civil-society and practitioner networks, government counterparts, regional partners, and service providers, under the guidance of the direct supervisor.

· Schedule and support consultations and partnership meetings; prepare agendas, minutes, correspondence, and follow-up actions.

· Maintain the stakeholder database, partnership tracker, and records of MoUs, letters, and other formal commitments.

· Support coordination of the university accreditation pathway and follow up on requested documents and agreed next steps.

Monitoring, Documentation and Reporting

· Track activities, milestones, deliverables, indicators, risks, and deadlines against the approved work plan and results framework, and flag delays or implementation gaps promptly.

· Maintain complete and well-organized electronic and hard-copy project files, including contracts, meeting records, deliverables, supporting evidence, and partner documentation.

· Compile implementation updates and contribute to internal and donor narrative reports, presentations, briefs, and other project communications.

· Collect and organize evidence of results, lessons learned, stakeholder feedback, and success stories in coordination with relevant team members.

Financial and Administrative Follow-up

· Maintain a routine budget and commitment tracker in coordination with the Project Manager and Finance team, and follow up on planned expenditures and supporting documents.

· Support efficient use of project resources and ensure that administrative and procurement actions are initiated early enough to meet project deadlines.

· Coordinate travel, venue, vendor, and event arrangements and verify that required documentation is complete before submission.

Child Safeguarding:

· Uphold and promote SOS Children’s Villages’ Child Safeguarding Standards and Code of Conduct, ensuring a zero-tolerance approach to all forms of abuse, neglect, exploitation, and misconduct.

· Ensure that all project activities, communications, and interactions prioritize the safety, dignity, and well-being of children and vulnerable individuals.

· Promote safeguarding awareness among project staff and partners and ensure timely reporting of any safeguarding concerns in accordance with organizational procedures.

General Responsibilities

· Carry out all duties in a professional, ethical, and accountable manner, in line with SOS Children’s Villages’ policies, values, and applicable procedures.

· Perform any other reasonable duties related to the position as assigned by the direct supervisor.

Position Requirements

· Bachelor’s degree in Business Administration, Project Management, International Development, Social Sciences, Education, Public Administration, or a related field.

· Minimum 3–4 years of relevant experience in project coordination, programme support, operations, or administration within NGOs, development programmes, training institutions, or similar settings.

· Demonstrated ability to coordinate multiple activities, consultants, partners, procurement actions, and deadlines in a structured manner.

· Experience preparing meeting minutes, implementation updates, project files, and supporting documentation for reporting and compliance.

· Understanding of project cycle management, basic budget follow-up, procurement processes, and results-based reporting.

· Experience working with universities, government institutions, civil-society organizations, training providers, or regional partners is an asset.

· Strong organizational, follow-up, communication, and problem-solving skills, with close attention to detail.

· Excellent written and verbal communication skills in Arabic and English.

· Strong command of MS Office applications and digital collaboration and documentation tools.

· Ability to work independently, manage competing priorities, and travel when required.
